High Locks Dental Practice Cancellation & Deposit Policy
We respect that your time is valuable and appreciate that you understand ours is too. When appointment times are reserved with our clinicians, we as a practice feel it is important for you to understand that this time is reserved for you ONLY.
If you should fail to attend this appointment, this time is lost and costs are incurred by the practice even if treatment is not carried out and will ultimately lead to increased waiting times for appointments.
To allow us the opportunity of rebooking the appointment slot, we request that you let us know as soon as possible if you are unable to attend your appointment and therefore ask for a minimum of 48-hours’ notice. Failure to do so may result in a charge being made at the clinicians’ discretion.
We strive to accommodate the appointment needs of our patients, and make every effort to keep on time for your scheduled appointments.
The practice will aim to contact you 2 working days before your appointment to confirm. However, we expect our patients to take responsibility for remembering their appointments and these calls are only a courtesy reminder. There will be occasions where due to unforeseen circumstances such as staff shortages we may be unable to remind you.
If you should fail to attend your appointment, we as a practice reserve the right to charge a fee. In the first instance of a missed appointment, you may only be advised of our charging policy. However, if a second appointment is missed within a 12-month period then a fee based on £2 per minute of the appointment time will be charged and will be required to be paid prior to the appointment being rebooked, i.e., a 30-minute appointment missed, a £60 fee will be charged. Further instances of failed appointments may incur increasingly larger fees if longer appointments are missed.
It is understandable that sometimes cancellations cannot be helped due to illness or emergency and we take all valid circumstances into account.
A £100 deposit will be payable when booking any treatment that takes one hour or more. This will be deducted from your bill for the relevant treatment. We guarantee that where notification to cancel appointments is given, with the required 48 hours’ notice, deposits will be refunded or offset against any treatment that maybe necessary in the future.
If multiple appointments are not attended or cancelled within the notice period, it is under the dentist’s discretion whether they continue to treat you as their patient.
For all new patients and patients who have not been seen within a 2-year period and require a comprehensive assessment; the fee of £125 will be required at the time off booking to secure the initial appointment.
We hope you understand the need to have this policy in place and hope that we do not have to enforce it. Our teams’ main objective is to ensure your dental health and this is done through the attendance of your regular appointments.
