Cancellation & Deposit Policy
We respect that your time is valuable and appreciate that you understand ours is too. When appointment times are reserved with our clinicians, this time is reserved for you only.
If you fail to attend your appointment, this time is lost and costs are incurred by the practice, even if treatment is not carried out. This can also lead to increased waiting times for other patients.
To allow us the opportunity to rebook the appointment slot, we request that you let us know as soon as possible if you are unable to attend. We therefore ask for a minimum of 48 hours’ notice. Failure to do so may result in a charge at the clinician’s discretion.
We strive to accommodate the appointment needs of our patients and make every effort to keep to scheduled appointment times.
The practice will aim to contact you two working days before your appointment to confirm. However, we expect patients to take responsibility for remembering their appointments, and these reminders are provided as a courtesy only. There may be occasions, such as staff shortages, where we are unable to provide reminders.
If you fail to attend your appointment, we reserve the right to charge a fee. In the first instance of a missed appointment, you may only be advised of our charging policy. However, if a second appointment is missed within a 12-month period, a fee based on £2 per minute of the appointment time will be charged. This must be paid before the appointment can be rebooked.
For example, a missed 30-minute appointment would incur a £60 fee. Further missed appointments may result in higher charges, particularly for longer appointment times.
We understand that cancellations may sometimes be unavoidable due to illness or emergencies, and we will take all valid circumstances into account.
A £100 deposit is required when booking any treatment lasting one hour or more. This will be deducted from your final treatment bill. Where at least 48 hours’ notice is given for cancellations, deposits will be refunded or can be applied to future treatment.
If multiple appointments are missed or cancelled without sufficient notice, it is at the dentist’s discretion whether they continue to provide treatment.
For all new patients, and for patients who have not been seen within a two-year period and require a comprehensive assessment, a fee of £125 is required at the time of booking to secure the initial appointment.
We hope you understand the need for this policy and that it rarely needs to be enforced. Our primary objective is to support your dental health, which relies on regular attendance at your appointments.
